We are currently seeking an Operations Specialist to join the team of one of our partner US-based company focused on maintenance and grounds services.
As a key member, you will be responsible for providing crucial support to the Operations Manager, with a dotted line with administrative functions; your primary focus will be on day-to-day duties related to onboarding, data entry, processes, and client communications.
Primary Responsibilities:
- Assist in project startups, coordinating supplies, equipment, and labor.
- Support Operation Managers in equipment assignation, labor direction, and open position requisition.
- Manage daily attendance reports, correct missed punches, and provide reports on Over Budget Offenders.
- Analyze labor and supplies budgets, resolve performance issues with Contractors and Clients, and assist in report completion.
- Conduct building walk-throughs, quality control inspections, and maintain contractor records.
- Aid Operation Managers in client correspondence, obtaining monthly verifications, and coordinating with clients for holiday schedules and service requests.
- Administer supplies orders, compare costs to budgets, categorize orders, enter order data into account spreadsheets, communicate with vendors, coordinate deliveries, maintain up-to-date supplies budget records, and support Account Receivable department, including coordinating team support for invoice processing, credit card payments, and purchase receipts, and assisting operations manager in approving vendor payments for services and products.
Skills and Competencies:
- Availability to work on site is a must
- Being on-site is a requirement for this position.
- Minimum 2 years of industry or title experience in an office setting.
- Demonstrated knowledge of MS Office, (Outlook, Word, Excel and PowerPoint).
- Bilingual (Spanish/English) is a must.
- Learn and apply knowledge of policies, procedures, and business systems.
- Demonstrate extreme attention to detail and provide administrative support to multiple lines of business.
- Exhibit a professional demeanor, promoting the business culture, and taking ownership of job requirements.
- Maintain reliability and dependability, while effectively communicating and collaborating with colleagues.
- Display high levels of attention to detail, initiative, problem-solving, and organizational skills, ensuring confidentiality and adherence to processes.
