As an integral member of the administrative team, you will use your exceptional organization and communication skills to support the management team in a wide variety of activities, including bookkeeping, reporting, scheduling, purchasing, notetaking and helping to arrange the kind of fun company activities that we are known for.
Job Responsibilities:
•Stay a step ahead of management to ensure they are at the right place at the right time, that their schedule is streamlined and their time is well-organized and efficient.
•Organize and schedule meetings and appointments, research and arrange purchasing, develop and maintain a filing system to keep the company organized.
•Submit and reconcile expense reports, manage payroll and bookkeeping, work hand in hand with the accounting and auditing firms to ensure records are well managed and maintained.
•Assist management with preparation of reports, meeting minutes, memos, letters and forms.
•Answer and direct phone calls, maintain contact lists, keep the office stocked and organized.
•Book arrangements for travel and fun team activities, events and adventures.
Position Requirements:
•Fluent in English and Spanish with high proficiency speaking and writing each language.
•Must be detail-oriented, analytical and organized with experience in administrative tasks.
•Computer skills and experience with software programs like Microsoft Office.
•Flexible schedules – we are open every day from 7:00 AM to 8:00 PM, 365 days a year.
