At Encore Corporate Travel, meetings and events are more than logistics — they’re experiences. We’re looking for a Meetings & Events Coordinator who thrives on precision, collaboration, and proactive planning to bring complex events to life seamlessly.
In this role, you’ll be the central force behind successful meetings and events, coordinating travel and logistics with confidence and care. From hotel sourcing and attendee management to group air collaboration and reporting, you’ll ensure every detail aligns so our clients can focus on what matters most.
What You’ll Do
• Lead end-to-end coordination for assigned meetings and events, from planning through post-event wrap-up
• Manage hotel sourcing, contracting, and rooming lists with accuracy and policy alignment
• Collaborate closely with internal teams including Group Air, Customer Success, Finance, Commercial, and Operations
• Oversee attendee logistics, ground transportation, and on-site readiness
• Define and support event technology requirements, testing, and go-live approval
• Own event reporting, visibility, and post-event reconciliation
• Serve as the primary point of contact for clients and suppliers, building strong, trust-based relationships
What We’re Looking For
Required
• 3+ years of experience in event coordination, group travel, or operations
• Strong knowledge of hotel contracting, rooming lists, and air logistics
• Exceptional organizational skills and attention to detail
• Ability to manage multiple projects simultaneously
• Strong communication skills and a client-first mindset
• Proficiency in Microsoft Excel and business tools
• Strong written and verbal English skills
Preferred
• Experience in corporate travel or event management
• Familiarity with OBTs, registration systems, and reporting tools
• Experience working with tech or implementation teams
• Knowledge of air booking workflows and fare rules
• Project management software experience
