GENERAL DESCRIPTION OF POSITION

The HR clerk and Receptionist is responsible for front desk activities, office supply management, vendor coordination, and employee engagement initiatives. This role also supports HR functions related to onboarding, workplace culture, and internal communication, while ensuring the office environment remains organized, functional, and aligned with company standards.

ACTIVITIES:
Request and manage supply purchase quotations.
Responsible for purchasing and managing the office First Aid Kit.
Monitor common areas and report or coordinate required maintenance.
Receive and attend to vendors and service providers.
Responsible for preparing the New Employee Welcome Kit and coordinating the Welcome Lunch.
Handle desk decoration for new administrative employees.
Coordinate logistics for company celebrations, birthdays, and anniversaries.
Purchase hygiene and cleaning supplies.
Deliver and manage hygiene products for the cleaning staff.
Update the Human Resources bulletin board.
Serve as an assistant to the CSO Committee.
Purchase office and stationery supplies.
Manage Avante visitor access and registration.
Control and maintain access card records for employees.
Submit purchase receipts for petty cash reimbursement.
Perform daily review of office TV screens displaying provider information, visitor details, and weekly activities.
Responsible for planning and organizing employee motivational activities.


REQUIREMENTS
High school diploma required.
Formal qualification in office administration, secretarial work, or related studies/training. Ideal.
Between 1–3 years of experience in a similar role. Ideal.
Intermediate to advanced English skills (preferred).
Exceptional ability to create a welcoming environment.
Experience handling and screening calls, as well as scheduling appointments.
Ability to observe business etiquette and maintain a professional appearance.
Proficiency in appointment scheduling and call-routing systems.
Experience working with word processing, spreadsheets, and email, including Microsoft Word, Excel, and Outlook Express.
Working knowledge of printers, photocopiers, scanners, and fax machines.
Excellent interpersonal and communication skills.
