GENERAL DESCRIPTION OF POSITION

We are seeking a bilingual (English/Spanish) Office assistant to provide comprehensive administrative and operational support. The ideal candidate will manage new hire coordination, vendor relationships, equipment distribution, general staff management, and human resources activities. This role requires a hands-on approach and strong organizational skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assist in maintenance of all client relationships.
Manage and organize calendars, schedule meetings, and handle email correspondence.
Maintain client email and contact database
Translate documents and communications from Spanish to English and vice versa to support fluid client and internal interactions.
Prepare, format, and manage documents, reports, and presentations.
Maintain and update databases, spreadsheets, and digital filing systems with high accuracy.
Assist with answering and routing phone calls
Good customer service for inbound office calls
Help manage shared email boxes for various departments (Sales, Support, Marketing, etc....)
Job scheduling and tracking
Shipping and Receiving

REQUIREMENTS

Between 1- 2 years of experience in an administrative, office assistant, or similar support role.
Proficiency in written and spoken English.
Advanced computer and operating system knowledge.
Quickly picking new skills with minimal training & highly motivated self-starter that requires minimal supervision.
High School Diploma or equivalent; an associate or bachelor’s degree is a plus.
Experience with virtual communication tools such as Zoom, Microsoft Teams, and Slack.
Familiarity with project management or CRM software (e.g., Asana, Trello, Salesforce) is a plus.

QUALIFICATIONS

Excellent customer service skills and high expectations for quality
Must have a strong sense of teamwork, prioritization, and self-motivation.
Enthusiastic, friendly, courteous individuals required.
