Billing Clerk
Job Description: A billing clerk is responsible for ensuring the accurate and timely processing of invoices and other billing documents related to the service provided, playing a vital role in keeping logistics operations financially sound. This role supports the Finance and Customer Service team by maintaining billing records and resolving billing discrepancies to ensure smooth cash flow and customer satisfaction.


Skills:
Accuracy and attention to detail.
Proficiency in Microsoft Office, mainly Excel, Outlook, Planner, and Teams.
Time management and prioritization.
Customer Service driven.
Good communication skills for coordination with internal teams, customers and vendors.
Knowledge of Standard Operating Process format, use of tables, workflows, and checklists.


Education and Experience:
At least 1 year of direct customer service or administrative experience.
At least 1 year of billing experience.
A college degree is preferred.
Bilingual, Spanish/English – C1 level


Responsibilities:
Validate type of service
Validate contract service rates, quotations or OOQ
Validate support documents (POD/POR/BL/AES, etc)
Invoice Issuing and Delivery

Ensure invoicing is handled accurately by entering all payable and receivables into the company system according to SOP.
Post invoice in company system
Send invoice the according to billing SOP
Handle Invoicing and Operational Discrepancies

Identify vendor/customer invoice discrepancy.
Validate discrepancy by reviewing approved rates and scope of service.
If applicable, formalize the discrepancy via email, carrier claim system, etc.
Internal escalation (Procurement, Customer Support, Commercial, Customer Service).
Create credit notes when applicable.
Analytics and Compliance

KPI’s compliance
Report preparation for external and internal purposes.
